1ļøāƒ£ What's Included in the Attendance and Absence Export

This option allows you to generate an Excel file listing all of your learners' attendance and absences for the period of your choice. This table will display the following information:

  • Name, first name, email, and student tag.

  • Name of the attendance sheet.

  • Date, start time, and end time of the session.

  • The attendance status: present, absent, or justified absence.

  • Duration of the lesson.

  • Duration of attendance (if applicable).

You will also find the Edusign ID of the student and the session in this extraction.

There are no time restrictions: you can choose any start and end dates, including dates several months or years in the past.

2ļøāƒ£ Select one or more learners or a group

First, go to the students tab.

Select one or more learners by checking the checkbox āœ… to the left of their name.

To export a group's attendance records, first filter the list to show only that group, then select the checkbox āœ… in the header. If the group spans multiple pages, click " Select All Learners (X) " in the actions menu to include all pages.

3ļøāƒ£ Export attendance and absence records for the period of your choice

In the menu that appears on the right side of your screen, click " Export," then " Attendance and Absences."

The " Export Overall Attendance and Absences by Student " window appears. By default, it is pre-filled with the previous month: edit the " From " and " To " fields to select your time period.

Next, click " Generate Excel File." The file opens in a new tab so you can download it. If it takes longer to prepare, you will receive it by email.

Note:

  • Only one export of this type can be run at a time for your organization. If an export is already in progress, please wait a few moments before trying again.

  • If more than 1,000 learners are selected, the file is generated in CSV format, which can be opened in Excel.

4ļøāƒ£ Get a PDF report of absences for each student

If you need a PDF document instead of an Excel spreadsheet (for example, for a funder or a mentor), you can generate a report of absences by learner for a given period:

  • On the "Learners" tab, select the relevant learners (up to 100 at a time).

  • Click on " Absence Reports" (X).

  • Select the time period (the end date cannot be later than today).

  • To download the reports without sending them, uncheck the recipients and then click " Download Reports ": you'll receive a ZIP file containing one PDF per student, and no emails will be sent.

The absence tracking feature is an option that must be enabled in your account. To configure it and send it to the apprenticeship supervisors, see this article. For a document signed per session, use the individual attendance sheets instead.

5ļøāƒ£ Retrieve old attendance sheets (older than 6 months)

There is no time limit on how far back you can download your timesheets. If some older pages seem to be missing, it's usually because they're on a subsequent page of the list.

  • From the Timesheets tab: filter by dates (and by group if necessary), then click " Select All Sheets (X) " to include all pages, and finally click " Download." Any unarchived sheets will be archived before downloading. For large files, you will receive the file via email.

  • From Download > Sheets by group: The " Select one or more sheets " list displays 25 sheets per page. At the bottom of the list, increase the number of rows per page (up to unlimited) to view and check all the sheets for the period.

Note: With the Analyst role, only sheets that have already been archived can be downloaded.
