Understanding Alcuin and Edusign

No more double data entry! Your training data is automatically synchronized between Alcuin and Edusign. πŸ₯°

Warning! When you use a connection between an ERP and Edusign, it is not recommended to create or modify elements directly on Edusign.

Otherwise, you risk deletion or duplication of your data.


Synchronization from Alcuin to Edusign

The integration allows Edusign to retrieve training-related data from Alcuin.

This information allows for the generation of an event on Edusign.

Then, you (or your instructors) can have learners sign the attendance sheet.

The connector synchronizes twice a day

  • Between 11:00 am and 1:00 pm - Paris Time

  • Between 6:00 pm and 9:00 pm - Paris Time

During synchronization, information is retrieved from Alcuin to Edusign, and presences and absences are sent from Edusign to Alcuin

By default, the next 14 calendar days are retrieved from Alcuin.

A course available on Alcuin more than 14 days in the future will not yet be visible on Edusign. You will need to wait.

Past courses or those created on the same day will not be synchronized.


Installation

To install the integration between Edusign and Alcuin, you must provide the following information to your Edusign contact.

API Connection Information

Provided by you to your Edusign contact

  1. URL (mandatory)

  2. Password (mandatory)

    • API access password: xxxxxxxxxxxxx


Available Options

Several options are available to customize your connection between Edusign and Alcuin. If any of these options interest you, feel free to inform your Edusign contact or via chat.

  • Automatic sending of identifiers to instructors and learners when adding them to Edusign

  • The number of rolling days to synchronize, by default, it'll be the next 14 days: nbDaysToGet

  • Your group directory, allowing synchronization filtering: annuaireIdStudentsGroups

  • Your initial training learners directory, allowing synchronization filtering: annuaireIdInitialStudents

  • Your continuing education learners directory, allowing synchronization filtering: annuaireIdContinuousStudents

  • Your professors directory, allowing synchronization filtering: annuaireIdProfessors

  • Using a proxy by the connector if you have a FireWall: useProxy

Information delivered down to Edusign

πŸ“– Events (events)

When you create or modify sessions/meetings/courses on Alcuin, all associated information will descend to Edusign as events. This information descent will only occur during synchronization to automatically create or modify events displaying:

  • Their name.

  • Their date.

  • Start and end time.

  • The training room.

  • The instructor(s).

  • The learner(s).

Note: it is only from the moment when the events associated with an individual (learner or instructor) are synchronized that the latter will be created on Edusign.

​In other words, don't worry if you don't see all the records/profiles of your learners and instructors on Edusign. They will only exist on the application from the moment they have a training session planned in the week.

My events don't get transferred down to Edusign. Why?

Don't panic! There could be several reasons:

  • The event was created the same day or concerns a session in the past (Edusign only synchronizes events for the next 14 days)

  • The event does not have an instructor or the instructor is invalid (they need a valid first name, last name, and email)

  • The event does not have at least one valid learner (they need a valid first name, last name, and email)

  • The professor's email appears twice on Alcuin: for data consistency reasons, Edusign blocks duplicate instructors β€” a second occurrence of the same instructor cannot be created, associated events are not reported

  • If a directory ID (on learners or groups) is set, it may be that the learners associated with the event do not have the correct ID.

If after these checks, the event still does not descend, let us know via chat.

Once synchronization is completed, the learner with a planned course on Edusign in the next 14 days will be created automatically. You will then find all your learners' profiles from the Learners menu, which will display:

  • Their name (mandatory).

  • Their first name (mandatory).

  • Their email (mandatory).

  • Their phone number (optional).

Similarly for learners, once synchronization is completed, the instructor with a planned course on Edusign in the next 14 days will be created automatically. You will then find all your instructors' profiles from the Instructors menu, which will display:

  • Their name (mandatory).

  • Their first name (mandatory).

  • Their email (mandatory).

The groups.

If the group reporting option is enabled, once synchronization is completed, groups will be created automatically. You will then find all the groups in the Groups menu, which will display:

  • Their name (mandatory)

  • Attached learners (mandatory)
