Attention! When using a connection between a Hyperplanning and Edusign, it is strongly advised against creating and/or modifying elements directly on Edusign.
Otherwise, you risk deletion or duplication of your sessions/learners/speakers.

If this rule is not followed, you will need to perform several manual actions to report attendance data in Hyperplanning.


Installation of a HyperPlanning connector

If you wish to set up a HyperPlanning connector on your account, we invite you to make the request directly to your Edusign contact.
The following information will be requested during the process:

To provide to your Edusign contact

  1. URL (mandatory)

  2. Username (mandatory)

    • API access Username: YOURORGANIZATION\\api@hyperplanning.fr

  3. Password (mandatory)

    • API access Password: xxxxxxxxxxxxx


2️⃣ Edusign and Hyperplanning: in essence!

The connection established between Edusign and Hyperplanning allows data synchronization between the two solutions. The synchronization is bidirectional, meaning there are two different information flows.

🎯 A descending flow 🛬

The descending flow allows synchronization of the existing planning on Hyperplanning without any double data entry. Certain data is required to ensure good synchronization of the planning.


🎯 An ascending flow 🛫

The ascending/upward flow allows synchronization of attendance data from Edusign to Hyperplanning. It is possible to report multiple statuses: present/absent, unjustified/justified.


Good to know: Each year, often during summer, a planning change is necessary on Hyperplanning. This change is also required on Edusign.


3️⃣ Choosing which planning to synchronize on Edusign

Understanding the concept of "families and rubrics" in Hyperplanning is essential. Mastering this concept allows you to:

  • Choose which students should be synchronized on an Edusign account and which ones should be excluded (learn more)

  • Choose which courses to include and/or exclude in the synchronization from Hyperplanning to Edusign (learn more)

  • Add Tags to Edusign Learner profiles to facilitate searching for your students (learn more)

🎯Distribute your learners over one or several Edusign accounts

To distribute your students over one or more Edusign accounts, it is preferable to understand the logic of "Families and Rubrics" (learn more about "families and rubrics" in Hyperplanning).

To filter which students to add to an Edusign account, it is necessary to define and assign a family/rubric couple attached to your students for each Edusign account to be supplied.

The family/rubric of each student you wish to have synchronized on Edusign must be completed on Hyperplanning, otherwise, the synchronization will not occur.

During the initial setup of the connector between Hyperplanning and Edusign, it is possible to synchronize the entire planning of a Hyperplanning database without distinction at the student level.
To do this, simply do not communicate any family/rubric couple, the connector will thus synchronize all your planning.

🎯Choose which courses to synchronize or not on Edusign

Similarly to your learners, it is preferable to take control of the logic of "Families and Rubrics" (learn more about "families and rubrics" in Hyperplanning).


To filter the courses to add to an Edusign account, it is important to define and assign a family/rubric couple attached to the course to either exclude or include such or such course in the synchronization.
For example, you can exclude independent courses or only synchronize distance courses.

Again, if no distinction of family/rubric is made, the connector will synchronize all your planning.


4️⃣ Further customize synchronization from Hyperplanning to Edusign

🎯Add Tags to Edusign learners

To understand how to add Tags to Edusign Learner profiles, you must master the logic of "Families and Rubrics" (learn more about "families and rubrics" in Hyperplanning).

To further personalize the synchronization between Hyperplanning and Edusign, you can choose to import the rubric of one or more given families as a Tag of the Learner profile on Edusign. This customization is generally used to facilitate the search for your learners on Edusign according to certain criteria.

For example: You can choose to import a family that might be called "Type of contract" as a Tag.
In this case, the value of the rubrics (e.g., Professional Contract/Apprenticeship Contract or Trainee/Initial) for each learner will be added as a Tag.

🎯Synchronize your learning masters/tutors

The connector between Hyperplanning and Edusign also allows synchronization of your students' learning masters/tutors. This parameter is activated only within the options of "management of Learning Masters/Tutors" and "Smart Alerts."

These two options respectively allow:

👉 Management of HP exemptions: do not synchronize exemptions

The connector between Hyperplanning and Edusign also allows filtering of your students' exemptions.

During planning, you can choose to exempt a student by subject or globally. During each synchronization, only students who are not exempted will be synchronized on Edusign.

👉 Management of training rooms synchronized on Edusign

First and foremost, it is imperative to verify the information you wish to synchronize on Edusign. You can choose between “Room code” and “Room name.”

Synchronization between Hyperplanning and Edusign can retrieve either of these pieces of information. The standard parameter of the connector retrieves the “Room name” information.

👉 Synchronize a course without a trainer on Edusign

One of the necessary data to synchronize planning from Hyperplanning is that courses are linked to an instructor with a valid email address.

In some cases, your planning does not provide for a trainer to conduct the training time.

In this case, Edusign allows forced synchronization of courses without a trainer by adding a 'fictitious' trainer (e.g., one of the administrators will also have an Instructor/Trainer account on Edusign).

Attention! It is necessary to contact Edusign support to implement this option. To save time, you can provide support with the email of the 'fictitious' instructor you want to add to sessions not associated with an instructor.

👉 Define a unique Room name for each synchronized session

One of the optional data for synchronization is the room name associated with each course. Some clients choose not to display rooms on Edusign or to always display the same one.

In some cases, especially if using our NFC technology (learn more). It may be useful to replace the synchronized room from Hyperplanning with a fixed room name that will always be attached to each of your presence sheets on Edusign.
