Mass import your Externals via Excel 📗

Import your supervisors, tutors, HR, company contacts, and more.

1️⃣ Go to the Externes tab.

The process is similar to importing students and instructors via Excel.

From this tab, choose Import Excel via the small arrow to the right of the Add external button.

You will be able to:

  • Choose an Excel to import if you have already prepared your file.

  • Download the example template, complete it, then import it.

Note: We recommend following the downloadable example template to import all required information more easily. 😉


2️⃣ Organize your information.

Once your file is added to Edusign, you will need to specify the type of information for each column by clicking on its title. You will find:

  • Mandatory: Name, Surname, Email Address

  • Optional: Phone Number, Company

To save time, our import system analyzes the header names and their initial values to detect, check, and fill the column type by default ✨

If you notice a column that is not useful for you or is intended for internal use, you can simply uncheck it via the box at the top right of the data block.


3️⃣ Confirm by viewing the table

To validate your import, the final step provides a preview of the data as it will be imported. Our system will account for the rows:

  • "Valid": All information is provided to import the row correctly

  • "Warning": Some information is missing, but this will not block the import

  • "Error": Some information is incorrect and the row will not be imported

Click on next then Validate the import.

Note: A report will be sent to you by email after each import. If a row was not imported, the report will detail why! 🤗

Note: You will receive a summary of your import by email. 📬

🎉 It's all good, you have mass-imported your new externals! 🎉
