1️⃣ Choose your template

  • First, from the documents page, click on "Send a document"

  • Then, you need to choose your template. If you plan on creating a new one, refer to the article on creating a document template for signing, or a text document template

  • Once your template is chosen, the procedure will not be the same if it is a document for signingπŸ“ or a text documentπŸ“„.


2️⃣ Sending document for signing πŸ“

Edit the template before sending

  • After selecting the template you wish to send, you can still modify the template before continuing. Otherwise click on "Next"

Selecting recipients, Group sending, Order of signing, Carbon Copy

At this step, you can:

  • Choose your recipients, based on the number of signatures required on your document model

  • Send in bulk to send multiple documents at once, rather than several single sends! πŸ€—

  • You can define the desired signing order. Thus, the signing email will first be sent to the first recipient, then to the second when the first one has signed!

  • You can also add recipients in carbon copy, just like in your emails!

Once the recipients are selected, click on "Next" to finalize your sending!

Finalizing your sending

Your document will be sent soon! You can quickly see how much credit the send will cost you, as well as the recipients chosen just before.

At this step, you can also:

  • Edit the subject and a part of the email body that will be sent.

  • Set up an automatic resend of the email if your recipients have not yet signed.

  • Set up signature validation by SMS or by Mail. The default method is via SMS.

  • You can also activate a document expiration based on the send date!


3️⃣ Sending text document πŸ“„

To send a document without signature or in bulk, you have three options:

  • You can first send the document to a student or a group of students right after creating your document model.

  • Similarly, once the model is created, you can go to Documents then Send a document at the top right. From the "My document templates" section, you can then click on the three small dots at the top right of the document visual then on Use next to the document concerned and send the document to a student or a group.

    If you don't see your model in the section, click on Show more and select your document in your database.

  • Finally, from the students tab this time, you can select one or more students via the Checkbox βœ… then, click on Generate documents on the right of your screen. You will then have the option to choose the document model to send from the drop-down list.

πŸ” Track sending and retrieve your sent documents

Once sent, you will find all your documents in the Documents menu > Recent tab (documents sent with or without signature) or in Generated Documents only showing documents generated via the process described in this article.

You can then verify that a document has been sent by clicking on the document in question, which will allow you to get precise information (times and sending date, for instance).
