1️⃣ Add your document template

  • Firstly, from the documents page, click on "Send a document"

Then, several ways to add a template are available to you. ⬇️

Import a PDF file

  • Click on "Add a document" and select the PDF from the file chooser window.

Note : The size of the imported file must not exceed 10MB. Otherwise, it will be rejected.

Import a .docx file

In high demand, we include the ability to add .docx (Word) files as templates.

  • Click on "Add a document" and select the .docx document on your PC that suits you.

Note : Once your .docx file is imported into Edusign, it will no longer be editable like in MS Word / Google Docs / LibreOffice Writer. You can customize it with variables in the model editor like the PDFs. πŸ˜‰

Import a template from Google Drive

Do you store your documents in Google Cloud? Import your document template directly from Google Drive! πŸ€—

  • Click on the chevron next to "Add a document" and click on "Import from Google Drive".

  • Log in to your Google account and accept the permissions so Edusign can retrieve the document you choose.

  • Select the document (Google Docs or PDF)

Use an existing template from the library

Edusign offers you several document templates to sign, popular among our partners. πŸ€— You have the choice to import and then use it in your sending flow, or simply import it to your personal templates.


2️⃣ Customize your template with variables (Organization, Students, Participants, Externals, ...)

To provide unlimited customization, variables allow you to add information, fields for your recipients to fill, and your signatures.

Here are the main types of variables you will find:

  • Profile information: These variables will be automatically filled with the recipient's information. You will also find your customized fields if you have configured them for your students and/or participants.

  • Fillable text: You can ask your recipient to add their own information for certain fields. You can make its entry mandatory.

  • Checkbox: Your recipient will need to check it or not. You can make it mandatory to check.

  • Signature: A necessary variable for your recipients to sign your document. It is mandatory in all cases if you have affixed other variables related to a specific recipient.

  • Initials: This variable will capture the initials of your contact. Useful for recognizing your signatures. πŸ€—

Also, to meet your various needs, you can select the type of contact the variable corresponds to:

  • Administrator: This will be the administrator who sends the document, whose information will be retrieved, and a signature will be requested in the sending flow.

  • Students, Participant & External

  • School information, previously completed in the organization settings, or the current date. πŸ˜‰

  • It is possible to add other Participant and/or External recipients if you want to have a single document signed by multiple contacts of the same type.

⚠️ It is necessary to provide at least 1 signature for each contact type having at minimum one checkbox or fillable text field in the template.Example: You added "fillable text" variables for 1 student, 1 participant, and an external, you can only proceed to the next step if a "Signature" type variable has been affixed to the document for each of your contacts.

Do not forget to click on "Next" so your modifications will be saved! πŸ€—


3️⃣ Add annexes to your template πŸ–‡οΈ

You can also add one or more annex documents to your signing template.

Note : This/these annex(es) will be integrated into the email received by the signer(s) not as an attachment, but as a link redirecting to the document.


4️⃣ Edit an already existing document template

Have you already imported a template, and do you just want to modify a few variables and/or recipient types?

  • Find your templates from the "Documents" page > "My templates" tab

  • When hovering over a template, click on the 3 small dots, and click "Edit". You can then rework your document template. πŸ˜‰


πŸ”½ Download a template

  • Go to the "Documents" page > "My templates" tab

  • When hovering over a template, click on the 3 small dots, and click "Download"

  • The template will open in a new browser tab and you can download it.


πŸ—‘οΈ Delete a template

Is your document template no longer useful? Does your subscription only allow a limited number of templates? Sort by deleting the ones you don't use anymore.

  • Go to the "Documents" page > "My templates" tab

  • When hovering over a template, click on the 3 small dots, and click "Delete"
