Automate signature emails, reminders, allow justification requests, etc.

In this article, you will find:


1️⃣ Email automation and settings.

  • Send a signature email at the start of the training: a signature email will be automatically sent at the start of the session (start time of the attendance sheet) to all learners.

    Note: While this option works well in certain training contexts and is very convenient for instructors, it does not allow targeted emails to those definitely present but sends to all learners without prior call.

  • Remove the time limit for signing signature emails: allow your learners to sign the attendance sheet by clicking on the signature link received by email within 2 weeks. If this option is disabled, learners will have 4 hours to sign.

Note: remember that learners will no longer be able to sign the sheet if it has been archived.


2️⃣ Request for absence justification.

  • Allow absence justification requests: from the Edusign learner app or on the learner area of edusign.app, a request for absence justification can be made. Once the learner has selected the reason, dates, time, and the supporting document for their absence, you will receive a notification on your Administrator space to accept or not the justification.

Warning! Always be sure to verify the dates of absences before validating.

  • Request an absence justification by email: automatically send a request email for absence justification to a learner who was absent at a session:

    • Allow absence justification requests: if one of your learners is absent, you can activate an option to invite them to automatically provide a justification on the evening of the absence.

      You can customize the email sent from the Emails tab in your Settings. 😮

    • The justification must be sent within X days after the end of the session: set a deadline from which the justification is considered delayed. This is not a blocker for the learner but you will be notified of this delay by a small hourglass symbol next to the request and on the sheet. Then it's up to you to decide! 😉


3️⃣ Automatic signature reminder.

Automatically resend a signature email to learners who did not sign during the first email send: if you activate this option, your learners will receive a reminder after X time (to be defined at the time of activating the option on your account) to ask them again to sign in case they forgot.

Note: This option only works if a first email had already been sent to learners.
