On Edusign, many attendance modes are available to allow you to adapt the solution to your training context. While some are quite "standard" and require no additional equipment, others necessitate on-site installations and allow your learners to be autonomous in attendance tracking.
Note: The NFC sign is quite easy to install as it does not require any electrical/internet connection.
In this article, you will find:
✏️ Written guide ✏️
1️⃣ The NFC Sign: Presentation.
With Edusign, you can now free your facilitators from attendance tracking. Your learners sign securely and autonomously. Facilitators simply sign via a signature email, sent manually or automatically (option in Settings > Facilitators) from the admin at the start of the course.
5 key points about the signs:
The NFC sign appears as a cardboard plaque equipped with an NFC chip.
NFC is a technology embedded by most phones.
No internet or electrical connection is necessary.
The signs are linked to a classroom. The learner must be present to scan the sign to record their attendance during the associated course.
A QR code on the front of the sign allows learners whose phones don't have NFC technology to record their attendance.
Note: the QR code is linked to device geolocation to ensure it's in the right room. This geolocation occurs ONLY at the moment of signature validation.
To equip yourself with these plaques, we invite you to contact your commercial referent or the Edusign support via chat. We specify that this technology is relatively low-cost for OFs.
2️⃣ Configuring NFC signs (room, address, distance & time frame).
To use Edusign with a connector (synchronizing with your ERP), you'll need to create the rooms before linking them with your NFC sign
To do this, go to your settings, then to Locations and finally click "Connected Objects"
Then just click "Add a Location" and add your room.
You can also add a room when creating an attendance sheet, click on "room" at sheet creation, then on "add location":
In the case of using Edusign without a connector, to associate a room with your signs and configure the geolocation perimeter valid for flashing the QR code, go to Settings under NFC. The list of signs linked to your OF should then appear here.
Note: You can add two plaques in the same room to allow signing at two distinct points, ideal for large rooms or amphitheaters.
To add or modify the room name, address, or distance, you can click on the small gear to access their settings.
Note: if you don't see the list of signs here, please contact support via chat.
In these same settings, you can also define a time frame during which signing via NFC is possible.
After opening this cogwheel, you'll have access to the various sign parameters, including the option we're interested in: "access time".
Using the settings in the screenshot below, your sign will be open for signing starting 15 minutes before the session begins, and will close 15 minutes before the session ends.
Alternatively, you can add a condition to open the sign only at the beginning and end of the course and close it during the course or even, to open it only at the beginning of the course.
For instance, in the screenshot below, for a course scheduled at 14h, your students can sign in between 13:45 and 14:15, after which the plaque will not allow further signing.
3️⃣ Functioning for learners.
NFC must naturally be activated on the smartphone in question. If the phone does not have the technology, it will be possible to sign via the QR code on the panel (see below on how to do this).
To sign via NFC sign, simply:
Log into the Edusign Learner smartphone app.
Select the current session from the home space.
Click on Contactless if the room is equipped (otherwise, the option will not appear).
A window will open to indicate it's possible to scan.
After passing the phone in front of the plaque, the signature box will appear on screen to draw the signature and then validate it.
Here is an infographic summarizing the key information intended for learners to assist them as best as possible:
🎉 And there you go! 🎉
4️⃣ Attendance procedure via the QR code.
The NFC plaque also displays a QR code for learners whose phones may not be NFC compatible. The QR code is linked, just like the NFC chip, to the room where the course takes place.
Then it's simply a matter of:
Ensuring the device's location is enabled.
Clicking on the related course.
Selecting Sign & Scan.
Sign via the window that opens.
Once the signature is done, the camera will open to scan the QR code and confirm the signature.
A message indicating that the device will be geolocated will then appear.
🎊 The signature is confirmed! 🎊
