Edusign & SC-Form (Galia / Sofia / Gessica): Everything You Need to Know

Here you'll find all the information you need to get the most out of your SC-Form connector on Edusign.

Written by Elliot Boucher

When you use a connection between an ERP and Edusign, you must be aware that it is strongly discouraged to create and/or modify elements directly on Edusign. If you proceed otherwise, you risk the deletion or duplication of your sessions/students/speakers. Edusign will not be held responsible for such use.

Functioning

The connection between Edusign and SC-Form is bidirectional. Two distinct streams of information coexist:

  • Downstream Flow 🛬 — Your schedule entered in SC-Form is automatically synced back to Edusign as attendance sheets (sessions, learners, instructors).

  • Upstream Flow 🛫 — Attendance data collected on Edusign (attendance, absences, excused absences, tardiness, early departures) is automatically synced back to SC-Form.

Synchronization Frequency

Downstream and upstream synchronizations are separate processes.

🛬 Downstream synchronization (SC-Form → Edusign)

Twice a day: between 11:30 a.m. and 2:00 p.m., then between 5:30 p.m. and 10:00 p.m. — Paris time

Synchronization schedules may vary slightly. We do not recommend making last-minute changes—it is best to make any changes at least one day in advance for a class scheduled for the following day.

Retrieves the classes, students, and instructors for the next 14 rolling days.

🛫 Upstream synchronization (Edusign → SC-Form)

  • Twice a day: between 11:30 a.m. and 1:30 p.m., then between 6:30 p.m. and 9:00 p.m. — Paris time

Send attendance and absence data from locked sheets to SC-Form.

Note: Only sheets that have been locked since the last synchronization are uploaded.

SC-Form Features

  • SC-Form is available in three software versions: Galia, Sofia, and Gessica. The connector works the same way for all three; only the connection point changes.

  • SC-Form organizes its data by company (required identifier). It is also possible to further segment by business unit within the same company.

  • The SC-Form API imposes a limit of 31 days per session retrieval request. The connector uses a 15-day window to ensure the reliability of transactions.

By default, learner absences are reported for each archived worksheet. The options below allow you to enhance this report.

Option

Description

SC-Form Prerequisites

Correspondence Regarding Reasons for Absence

Match each Edusign reason for absence with its SC-Form equivalent. A default reason can be set for unexcused absences.

The reasons are automatically fetched when the feature is activated through the Edusign administration interface.

Delays

Record learners' absences as "delays" using a specific reason code.

Create the "late" reason in SC-Form and provide its ID to Edusign.

Early Departures

Report early departures of learners with a dedicated reason.

Create the "early departure" reason in SC-Form, provide its ID to Edusign, and include it in the reason mapping table.

To request activation of these options, contact Edusign via chat. Upon request, and depending on technical feasibility, other parameters may be considered.

🛬 Downstream synchronization — SC-Form to Edusign

Attendance Sheets

When you create or edit sessions in SC-Form, the associated information is sent back to Edusign in the form of attendance sheets:

  • Session name

  • Date

  • Start and end time

  • Training Room

  • Associated speaker(s)

  • Associated learner(s)

Sessions for which a participant's duration is 0 (exempt) are not imported.

Learners

A student is automatically created on Edusign as soon as they have a scheduled class within the synchronization window. The synchronized information is:

  • Last Name (required)

  • First Name (required)

  • Personal or work email address (required)

  • Phone number (optional)

  • Company, if the trainee is covered by an active agreement (optional)

Speakers

Similarly, a teacher is automatically created on Edusign as soon as they have a class scheduled within the synchronization window:

  • Last Name (required)

  • First Name (required)

  • Work or personal email address (required)

  • Phone number (optional)

Groups and external contacts (advisor, apprenticeship supervisor) can be synchronized according to the desired settings

Note: Individuals (students and instructors) appear on Edusign only if they have a scheduled session within the next 14 days.

🛫 Upstream Synchronization — Uploading Attendance Data to SC-Form

Functioning

  1. Attendance sheets are signed on Edusign by students and instructors.

  2. The document is archived (locked) on Edusign.

  3. During the next upload, attendance data is sent to SC-Form.
