When using a connection between an ERP and Edusign, it is not recommended to create or modify elements directly on Edusign while connected to an ERP, as this may result in data deletion or duplication.
Synchronization from Ammon to Edusign
The integration allows Edusign to retrieve training-related data from Ammon.
This information allows the generation of an attendance sheet on Edusign.
Then, you (or your instructors) can have the trainees sign in.
The sheet is ready and signed!
The connector synchronizes twice a day
Between 11:00 AM and 1:00 PM - Paris Time
Between 6:00 PM and 9:00 PM - Paris Time
During synchronization, information is retrieved from Ammon to Edusign.
The calendar days for the next 14 days are retrieved from Ammon
A course on Ammon more than 14 days in the future will not yet be visible on Edusign. You will need to wait.
Past courses or those created on the same day will not be synchronized.
Steps to install the Edusign-Ammon integration
To install the integration between Edusign and Ammon, you need to provide the following information to your Edusign contact:

Allows filtering attendance sheets by session status ID(s).
Type of students' email - studentEmailType (optional)
Allows choosing the type of email returned for students (personal or professional). By default, the professional email is returned.
Management of early departures - earlyDeparture (optional)
Allows defining the reason that will be reported on Ammon in case of early departure (the reason must exist on Ammon).
Reporting of individual sessions - usesIndividualSessions (optional)
Allows individual sessions present on Ammon to be reported. (does not take Ammon groups into account)
Automated sending of credentials to instructors (optional)
Automatically sends credentials to instructors when added on Edusign during the daily synchronization.

Information flowing down to Edusign
πAttendance sheets
When you create or modify events on Ammon, all associated information will be passed down to Edusign as attendance sheets.
This information transfer will only occur during synchronization to automatically create or modify attendance sheets displaying:
Their name.
Their date.
Start and end time.
The training room.
The instructor(s).
The trainee(s) if they exist on Ammon.
Important: By default, only sessions with the status "ongoing" are synchronized with Edusign. Sessions with the status "in preparation" are not retrieved. If you want these sessions to also be synchronized, a specific option can be enabled. Please contact support or your AM (Account Manager) for more information.
Note: Profiles/records of trainees and instructors are created on Edusign only when an attendance sheet is associated with them.
Don't worry if you don't see them yet, they will appear as soon as a training session is scheduled for the week.
πο»Ώ Why don't my attendance sheets flow back down to Edusign?
Don't panic! There can be several reasons:
The attendance sheet was created the same day or concerns a past session (Edusign only synchronizes those for the next 14 days).
The attendance sheet does not have an instructor or the instructor is not valid (name, first name, and email required)
The professor's email is duplicated on Ammon, preventing sheet synchronization to avoid duplication.

Once synchronization is complete, the student with a scheduled course on Edusign within the next 14 days will be automatically created.
You will then find all your students' profiles/records from the Students menu, displaying:
Their last name (mandatory).
Their first name (mandatory).
Their email (optional).

Just like for students, once synchronization is complete, the instructor with a scheduled course on Edusign within the next 14 days will be automatically created.
You will then find all your instructors' profiles/records from the Instructors menu, displaying:
Their name (mandatory).
Their first name (mandatory).
Their email (mandatory).

You will then find all the groups and their structure in the Groups menu, displaying:
Their name (mandatory)
