1️⃣ First and foremost.
Attention! When using a connection between an ERP and Edusign, it is highly discouraged to create and/or modify elements directly on Edusign. If you do, you risk the deletion or duplication of your sessions/learners/instructors. Edusign cannot be held responsible for such use.
Having said that, it's over to us! 🚀😄
2️⃣ Edusign and Hyperplanning: in a nutshell!
The connection established between Edusign and Hyperplanning allows data synchronization between the two software. The synchronization is bidirectional, meaning there are two different information flows, in one direction and the other:
A downward flow 🛬. This allows your schedule to be brought down to Edusign from Hyperplanning, thus avoiding double data entry on Hyperplanning and Edusign.
An upward flow 🛫. This information ascent from Hyperplanning to Edusign allows the transmission of attendance/absence/justified absence statuses to your connector for your training sessions.
3️⃣ Downward synchronization of information 🛬.
The standard downward sync between Edusign and Hyperplanning allows for the automatic import and update of your schedule on Edusign once data is entered on Hyperplanning.
However, it is important to note that the downward sync occurs:
🕛🕙 Twice per day around 12 PM and 10 PM.
📅 For all sessions/meetings/attendance sheets over the next 14 rolling days.
-- What information flows down to Edusign? --
📖 The attendance sheets
When you create or modify sessions/meetings/courses on Hyperplanning, all associated information will flow down to Edusign as attendance sheets. This information transfer will only occur during synchronization to automatically create or modify attendance sheets displaying:
Their name.
Their date.
The start and end time.
The training room.
The instructor(s).
The learner(s).
Note:it is only from the moment the attendance sheets associated with an individual (learner or instructor) that they will be created on Edusign. In other words, don’t worry if you don’t see all your learners' and instructors' profiles in Edusign, they will only exist in the application from the moment they have a training session scheduled in the next 14 days (as synchronization only occurs for the next 7 days 😉).
👨🎓 The learners.
Once synchronization is completed, the learner with a course scheduled on Edusign in the next 14 days will be created automatically. You will then find all your learners' profiles/files from the Learners menu showing:
Their name (mandatory).
Their first name (mandatory).
Their email (mandatory).
Their phone number (optional).
Their training name (optional).
Their company (optional).
👨🏫 The instructors.
In the same way as for learners, once synchronization is completed, the instructor with a course scheduled on Edusign in the next 14 days will be created automatically. You will then find all your instructors' profiles/files from the Instructors menu showing:
Their name (mandatory).
Their first name (mandatory).
Their email (mandatory).
➕ What information can ascend upon request? ➕
Note that some more advanced synchronization parameters can be activated to bring more information down to Edusign. The request to activate these parameters is made to Edusign via chat.
These parameters can enable:
Matching absence reasons between Edusign and Hyperplanning.
Grouping learners into groups/classes/trainings.
Importing information about the apprentice master/tutor (name, first name, email).
Activating the automatic sending of identifiers to instructors and learners.
Applying a filter on the ascent of courses via topic and/or family.
Filtering the ascent of learners using topic and/or family.
Upon request, depending on technical feasibility, other parameters can be imagined and considered together. 😮

5️⃣ Upward synchronization of attendance data 🛫.
The standard upward synchronization from Edusign to Hyperplanning allows for the automatic update of each learner’s attendance data (absences/justified absences/presences) based on the attendance sheets they have signed or not. The information ascent also enables the synchronization of instructor presences and absences to facilitate their payroll management.
This upward synchronization is performed:
Each evening around 10 PM.
Only for the attendance sheets that have been archived during the day.

👨🎓 The attendance status (presences/absences/justified absences) of learners for each of the attendance sheets associated with them.
👨🏫 Once again, the attendance and absence states of your instructors based on the attendance sheets.
➕ What information can ascend upon request? ➕
Just like the downward synchronization, it is also possible to modify/add certain parameters to the standard synchronization. This advanced setting allows for the import of additional information. The request to activate these parameters will also be made to Edusign.
Ascend the correct absence reasons from Edusign to Hyperplanning.
Automate the sending of absence records to the apprentice master/tutor.
