๐Ÿค– Send an automatic justification request email

In case of an absence from one of your students, you can enable an option to invite them to submit a justification. This request will be made automatically by email to the student on the evening of the absence at 11:05 PM French time.

To do this, go to your Settings, click on the students sub-tab in the Training Organization menu, and activate the option Allow absence justification requests.

You can also customize the email sent from the Emails section of your Settings. ๐Ÿ˜ฎ


๐Ÿ” Track / Filter your requests

Track your absence justification requests from the students tab > sub-menu Absence Justification.

You can also filter requests based on:

  • Status: Pending/Rejected/Accepted

  • student's name/email

  • student group


๐Ÿ“„ Retrieve a justification document

To verify or validate a justification request, you sometimes need to check the document provided with the request.

Note: Whether the justified absence is added by you or accepted/rejected following the student's request, the documents will be available in the future on their profile.

To do this, several ways:

  • From student > Absence Justification > Click on the "Download Justification" button

  • Or hover over the options button, you will also have the option to "Download the justification"

Also, find requests related to a student from student > The student concerned > Justified Absences tab.

A last method is to click on Justified Absence directly on the attendance sheet and download the document from the window that will then open.

You can accept or reject the justification request from the dedicated buttons.

Note: When you accept or reject a request, an email is then sent to the student to inform them of the status of their request. ๐Ÿ“จ

Are some request details to be reviewed or corrected? No problem, you can modify the request:

Is the absence request incorrect, or do you want to resolve duplicate requests? Delete the ones you don't need! ๐Ÿ˜‰

๐Ÿช„ Will the sheets be automatically modified?

Any sheet that is not archived will be automatically modified and the student will be marked as "Justified Absence" on it when the justification is accepted.

The professor will also see the information appear on the relevant sheets.


โŒ What happens if I refuse the justification?

The student will be notified by email and can make another request if necessary. You can explain the reason for the refusal in this email via the displayed window.

You will always find the document of a refused justification in Justified Absences within the student's file.


๐Ÿ’ซ How to bypass the "an absence already exists on the selected dates" error message

This message appears when a justified absence already exists on some or all of the duration of the new absence justification requested.

For example, if an absence is requested from 2 PM to 6 PM the same day, and a justification is already uploaded for an absence from 1 PM to 3 PM. So, there is an overlapping of absences. Overlapping is a source of conflict. So you need to correct one of the two justified absences.

Thus, two solutions exist:

  • Change the dates/times of the existing justified absence for the period

  • Change the dates/times of the new absence justification request received.

Don't know which dates overlap? You can go to the concerned student's profile to see their absences, under the Absences tab.

Go to the student's profile, then to Justified Absences or Absences.


๐Ÿ‘จโ€๐Ÿซ Can the professor see the justified absentees?

The mention will be made on the attendance sheet and visible to the professor once the justification is validated by the administrator. The reason will appear below the student's name.
