Email signatures for learners

The email signature mode is ideal for distance learning, but also in-person when learners have a PC or a phone with them.

After the login page, the home page appears. It is possible to see all scheduled sessions. In History, all the completed sessions are shown.

The orange mouse indicates that the instructor has not signed the attendance sheet.


1️⃣ Open a session to collect signatures from learners

Click on a session in your session list.

Warning! If no session is present, check the history and contact your administration to resolve the issue.

Once the session is selected, a signature box appears.


2️⃣ Validate the signature and save it.

Sign and click the Save button so your signature is recorded.

Note: The instructor's signature is essential to obtain a compliant document.


3️⃣ Attendance sheet and learner signatures by email.

To collect learner signatures by email, you must select (via the checkbox on the left ✅) all learners present during the training session and click Send signature email.

Note: It is possible to resend an email to one or more learners by selecting the Checkbox and then via the Actions button if the email was not received.

Remember to ask them to check the spam folder. 😉

To make this action work, you must select it in your settings.


4️⃣ Signature Control.

Signatures will appear in real-time in the Status of the Attendance Sheets.

This column allows you to quickly see if a learner has signed or not, along with their "Absent" or "Present" status.


5️⃣ Other possible actions: delay, comment, exclusion...

You can also perform different actions as needed via the Actions button to the right of each learner to:

  • Manually sign (on the instructor's terminal, in-person)

  • Send a signature email.

  • Exclude the learner.

  • Mark the learner as absent.

  • Add a justified absence (with a document or not).

  • Add a comment about the learner.


Note: There is nothing to validate, everything is automatically transferred in real-time to the administration.
