Mass import your attendance sheets into Edusign via .xlsx file!

Before importing your sheets, it is advised to first import your learners/groups and facilitators upfront. 😉

❗ Before Excel import: Organize your information

Mandatory information:

  • Session date. (DD/MM/YYYY)

  • Session name.

  • Start time (Warning! Excel time format e.g., 08:30:00).

  • End time (Warning! Excel time format e.g., 09:30:00).

  • Group associated with the session (Warning! The group's name must be exactly the same as the one already present on Edusign).

  • Facilitator's email.

Optional information:

  • Location / Room

  • Email of a 2nd facilitator.

  • Name of a 2nd group to attach.

  • Create a Zoom meeting for the sheet (if your Zoom connection is activated from your space)

  • Learner questionnaire ID + Sending date and time (Warning! Date and time format on Excel e.g., 25/01/2020 09:00:00)

  • Facilitator questionnaire ID + Sending date and time (Warning! Date and time format on Excel e.g., 25/01/2020 09:00:00)

You won't be able to import a file larger than 10MB, and we advise splitting your files into 500 lines to optimize the processing of your imports.

Note: Only the first sheet of your Excel file will be considered. The first line of the file will not be imported (line reserved for column titles). The import will also delete the first lines where columns are merged as shown in the image below.


1️⃣ Go to the Attendance Sheets tab

Click on the chevron of the Attendance Sheet button and Import Excel.

You will then be able to:

  • Choose an Excel to import if you have already prepared your file.

  • Download the sample template, fill it out and then import it.

👉 If the sample template is not used, dates must be under the "Date" format in Excel and times under the "Time" format.

Note: It is advised to fill in the sessions on the sample template (downloadable) to avoid any error.


2️⃣ Define the type of information for each column

Our import system detects the type of each column for you! 🤗

Sometimes you'll need to manually validate and define the column type before moving to the next step.

  • Specify the type of information each column represents via the dropdown menu.

  • If you notice a column that won't be useful or is intended for internal use, you can simply uncheck via the box at the top right of the block corresponding to this data.

  • Click on the "Next" button at the bottom to confirm and move to the next step.


3️⃣ Preview the import before validating

Finally, an import confirmation window should appear, click on "Validate the import".

It is possible to choose a group directly via the dropdown menu at this step or by selecting one or more sheets. 🤗

Note: The import might take a bit of time, especially if it's large, and will load during your use of Edusign. A summary email is sent in all cases!
