Adding justified absences from the admin space.

Add (and modify) a justified absence and retrieve its associated documents.

The justification of absences allows training organizations to recover funding. Edusign allows you to identify who is absent and add supporting information and documents.

This article will guide you on marking learners as absent if they were unable to do so themselves from their space.

Note: Only the user with the "owner" role can add new absence reasons.

1️⃣ From the attendance sheet.

To manually add an absence justification, go to the relevant attendance sheet then click on the name of the session for which the learner has a justified absence.

The three small dots to the right of the learner's name allow you to select Justified Absence.

A window will then open, allowing you to provide various pieces of information related to the justification of the absence.

  • Reason for absence.

  • Dates and times.

  • Justification.

  • Possible comment.

Don't forget to Validate to save.

The unarchived attendance sheets will then be automatically updated, marking the learner as having a Justified Absence.

2️⃣ From the learner's profile.

Go to the Learners tab then click on the relevant learner.

Then click on the Absences sub-tab.

By clicking on New Justification, you can add:

  • Reason for absence.

  • Dates and times.

  • Justification.

  • Possible comment.

Don't forget to Validate to save.

The documents will be available in the future on the learner's profile. To find them, go to Learners then click on the relevant learner's name. Finally, click on the Absences tab.

3️⃣ Modify a justified absence.

On the attendance sheet.

You can modify your learners' justified absences from the sheets affected by their absence or their profile in the Absences section.

From the attendance sheet, you can directly click on Justified Absence next to the learner's name. A window will then open with the reason, comment, document, and dates of the absence. You can then modify this information.

On the learner's card

From the learner's profile, you can access all justified absences that are in progress, accepted, or refused in the Justified Absences sub-tab and Absences.

In the Justified Absences sub-tab, you can modify a justified absence.

It is also possible to access modification from the Absences sub-tab.

On the calendar view, you can modify the justified absence by clicking on the yellow banner representing the justified absence to open the modification window.

In the list view, you simply have to click on the reason for the absence to open the modification window.


4️⃣ Retrieve a justification document.

Whether the justified absence was added by you or accepted/refused following a learner's request, the documents will be available in the future on the latter's profile.

To find them, go to Learners then click on the relevant learner's name.

Finally, click on the Justified Absences tab and select Accepted Documents or Refused Documents.

It is also possible to go through the Learners sub-tab and click on the yellow banner to then download the document from the window that will open.

A final method is to click on Justified Absence directly on the attendance sheet and to download the document from the window that will then open.
