Edusign & ADESOFT REST: Everything You Need to Know

Synchronize your contacts and data between Adesoft REST Tapir and Edusign

Written by Yoann Talon

No more double entries! Your training data is automatically synchronized between ADESOFT and Edusign. 🤗

When using a connection between an ERP system and Edusign, we do not recommend creating or modifying items directly in Edusign, as this may result in data being deleted or duplicated.

Operation

The Edusign-ADESOFT REST integration is downward only:

  • Downstream synchronization (ADESOFT to Edusign): Training data (attendance sheets, learners, instructors, groups) is automatically retrieved from ADESOFT and created in Edusign.

Attendance reporting (upstream synchronization) is not available for this connector. If you need this feature, please contact your Edusign representative.

Important: There are two versions of the ADESOFT API. This connector uses the REST API (Tapir). If your institution uses the legacy Java Servlet API (Web Service), this is a different connector. Check with your technical contact to see which version is currently installed.

Synchronization Frequency

Downstream synchronization (ADESOFT to Edusign)

The connector synchronizes twice a day:

  • Between 11:30 a.m. and 2:00 p.m. (Paris time)

  • Between 6:30 p.m. and 10:00 p.m. (Paris time)

Synchronization schedules may vary slightly. We do not recommend making last-minute changes. It's best to submit any changes at least one day before a class scheduled for the following day.

The rolling window covers the next 15 calendar days (by default). A course listed on ADESOFT that is more than 15 days in the future will not yet be visible on Edusign. Past courses are not synchronized.

Projects and Categories in ADESOFT

In ADESOFT, data is organized by project (for example: "Training 2025-2026"). You must specify the project ID(s) to be synchronized. This setting may change every year.

In addition, in ADESOFT, all entities are resources classified by category (learner, instructor, group, room). The default category names are preconfigured, but it is important to confirm with your institution that the categories are correct.

Installation

Prerequisite Information

Please provide the following information to your Edusign contact. You can obtain them from the administrator of your ADESOFT instance.

Parameter

Description

API Access URL

Base URL of the ADESOFT REST API (e.g., https://edt.mon-etablissement.fr/RestApi)

Username

API Access Token

Password

API access password (may be left blank if not configured on your instance)

Project ID(s)

ID(s) of the project(s) containing the data to be synchronized (e.g., the current year's project). This setting may change every year.

Resource Categories

Correspondence between ADESOFT categories and Edusign resource types (students, instructors, groups, rooms). Default values are preconfigured— please confirm these with your ADESOFT administrator.

Options — Filtering & scope

Option

Description

Synchronize classes without students

Allows you to import courses even if they do not have any students in ADESOFT. Very common: useful if learners are managed manually in Edusign (e.g., Excel import).

Filter by group codes

Allows you to synchronize only those courses that contain at least one of the specified groups (by code).

Filter by group names

Allows you to synchronize only those courses that contain at least one of the specified groups (by name).

Deleting Virtual Groups

Allows you to exclude so-called "virtual" groups (those with specific suffixes in their names or codes) from synchronization.

Number of days to be made up

Allows you to change the synchronization window (default: 15 days).

Options — Notifications

Option

Description

Automatic sending of login details to speakers

Automatically send login credentials to participants when they are added to Edusign during synchronization.

Automatic sending of login details to students

Automatically send login credentials to students when they are added to Edusign during synchronization.

Downstream Synchronization - ADESOFT to Edusign

Attendance Sheets

When you create or edit events on ADESOFT, all the information associated with them is synced back to Edusign in the form of attendance sheets:

  • Their name

  • Their date

  • Their start and end time

  • The training room (if available)

  • The presenter(s)

  • The learner(s) (if listed on ADESOFT)

Learner and instructor profiles are created on Edusign only when an attendance sheet is linked to them in the synchronization window. They will appear as soon as a training session is scheduled.

The learners

Once synchronization is complete, learners with a scheduled class during the synchronization window are automatically created:

  • Their name (required)

  • Their first name (required)

  • Their email address (optional)

  • Their training (optional — Resource Path in ADESOFT)

It is very common for clients not to have students in ADESOFT and to prefer to manage them manually in Edusign (e.g., via Excel import). The "Synchronize courses without learners" option is provided for this purpose.

Speakers

Similarly, instructors with a class scheduled during the synchronization window are created automatically:

  • Their name (required)

  • Their first name (required)

  • Their email address (required)

If a participant does not have a valid email address in ADESOFT, the associated attendance sheet will not be imported.

Groups

Groups are created automatically during synchronization. They show:

  • Their name (required)

  • Their description (group code in ADESOFT)

  • Enrolled students

Event Synchronization

The connector can also synchronize events (student schedule) over an extended time frame covering up to one year into the future. This synchronization is separate from the synchronization of timesheets and provides a long-term view of the schedule.

Synchronized events display:

  • Their name

  • Dates and times

  • The room

  • Learners and associated stakeholders

  • The event color (if defined in ADESOFT)

The same filters as those used for downstream synchronization apply (projects, group filters). You can enable event synchronization through customer support or your Edusign representative.

Common Problems and Checks

Verification

Details

The attendance sheet is for a past session

Edusign synchronizes only the sessions for the next 15 days (by default).

The attendance sheet has no speaker listed

The speaker must have a valid first name, last name, and email address on ADESOFT.

The speaker's email address appears twice in ADESOFT

This prevents the sheet from being synchronized to avoid duplicates.

The sheet has no students

By default, courses with no students are not imported. Enable the "Synchronize courses without learners" option if necessary.

This isn't the right project

The project ID may change each year. Check with your ADESOFT administrator to make sure the correct project is configured.

The group filter excludes the course

If a filter based on group codes or names is enabled, only courses containing at least one of the specified groups are imported.

The resource categories do not match

ADESOFT category names may vary from one institution to another. Verify that the configured categories are correct.

A list of events and errors related to synchronization is available in your account settings, under the "Connectors" tab > "More info".

If the problem persists despite these checks, our support team is here to help you. Please attach:

  • The Edusign account name

  • The ID of the relevant project and event

  • A screenshot of the problem
