Edusign and Formeis: everything you need to know

Formeis is a management software for training centers, allowing for course planning, attendance tracking, and student management.

No more double entry! Your training data is automatically synchronized between Formeis and Edusign. πŸ₯°

When using a connection between an ERP and Edusign, do not create learners, instructors, or course sessions directly on Edusign. Otherwise, you risk data deletion or duplication.


Synchronization from Formeis to Edusign

The integration allows Edusign to retrieve training-related data from Formeis.

This information is used to generate an attendance sheet on Edusign.

Then, you (or your staff) can have learners sign in. The sheet is ready and signed!

Finally, attendance and absence information is also sent back to Formeis.


Synchronization frequency

The connector automatically synchronizes every night.

During synchronization, information is retrieved from Formeis to Edusign, and attendances/absences are sent back to Formeis.

βœ… Synchronization window: 2 to 5 rolling days

Courses scheduled for the next 2 to 5 days are synchronized. Those beyond will be visible later. Past courses are not synchronized.

If you need to force synchronization due to a last-minute change, you have the option to do so.


Installation

To install the integration between Edusign and Formeis, follow these steps:

When a session is created or modified in Formeis, it is transformed into an attendance sheet in Edusign. Data includes:

  • Name

  • Date

  • Start and end time

  • Instructors

  • Learners

  • Room

Automatically created in Edusign if a session concerns them. Information:

  • Name (mandatory)

  • First name (mandatory)

  • Email (mandatory)

  • Phone (optional)

⚠️ All students are listed without distinction between active/inactive. Those prefixed with a * are inactive and should be archived in Edusign.

Automatically created with:

  • Name

  • First name

  • Email

⚠️ Formeis distinguishes two tables: Trainers (internal) and External Instructors. Both must be selected for proper transmission and are grouped in the "Instructors" tab.

Groups are not synchronized by name. They appear empty in the "Groups" tab but learners are properly linked on attendance sheets.


FAQ – Downward synchronization

  • Why do some sheets not appear?

    • Session out of scope

    • Lack of valid instructors/learners

    • Duplicate professor email

  • How to manage repeat students?

    • Their registration number changes: be sure to transmit the new class so they are accounted for.

  • Can groups be modified manually?

    • Yes, but do not use Excel import as it breaks synchronization.


The upward synchronization of attendance data πŸ›«

The standard upward synchronization from Edusign to Formeis allows for forwarding:

  • Learner attendance/absences

  • Instructor attendance

It is carried out at each synchronization, only for archived sheets.

⚠️ An unsigned session is considered unjustified by default.

Points of attention:

  • Absence reports are sent directly via Edusign and will automatically feed into Formeis without changes from Formeis

  • The reason for absence is sent, but not the supporting document yet

Points of caution

  • Once setup is launched, data begins to be uploaded immediately

  • Email addresses are crucial for all contacts. Without it, information cannot be properly transmitted down.

  • No secure QR code available on the admin space
