When using a connection between an ERP and Edusign, it’s recommended not to create or modify elements directly on Edusign. Otherwise, you risk data deletion or duplication.
Operation
The integration allows Edusign to retrieve data related to training courses from Celcat WEBAPI.
This information is used to generate attendance sheets on Edusign.
Next, you (or your instructors) can have the students sign in.
Celcat does not track attendance. Attendance and absence data are not sent to Celcat. Synchronization is downstream only (from Celcat to Edusign).
Synchronization Frequency
🛬 Downstream synchronization (Celcat → Edusign)
Twice a day: between 11:30 a.m. and 2:00 p.m., then between 6:30 p.m. and 10:00 p.m. — Paris time
Synchronization schedules may vary slightly. We do not recommend making last-minute changes. It's best to submit any changes at least one day before a class scheduled for the following day.
🫂 Cohort synchronization (upon request)
This synchronization is initiated manually on demand in order to import all learners and instructors in Celcat in advance, regardless of scheduled classes. It's useful for pre-creating profiles on Edusign.
A Unique Feature of Celcat: Name Formatting
In Celcat, the first and last names of individuals (learners and instructors) are combined into a single field. The format may vary by institution.
During installation, you must specify the format used in your Celcat instance so that the connector can correctly separate the first name and last name.
Important prerequisite: Before setting up the connector, it is necessary to harmonize the naming format of your contacts (students and instructors) in Celcat. If the names do not follow a consistent format (for example, a mix of "Last Name, First Name" and "First Name Last Name"), the connector will not be able to interpret them correctly, and some profiles will not be created on Edusign.

The "uppercaseLastnameThenFirstname" format is useful when the last name is always in capital letters. The connector automatically identifies uppercase letters as the last name and the rest as the first name, even for compound names.
Installation
To install the integration between Edusign and Celcat, you must provide the following information to your Edusign contact.

Downstream synchronization — Celcat to Edusign
Attendance Sheets
When you create or edit sessions/classes on Celcat, all the associated information is synced back to Edusign in the form of attendance sheets. This data download occurs only during synchronization to automatically create or modify attendance sheets, displaying:
Their name (consisting of: category - department - module - event name)
Their date
Their start and end time
The training room
The participant(s)
The student(s)
Groups (if applicable)
Note: Courses that are removed from Celcat are automatically deleted from Edusign during the next synchronization.
The learners
Once synchronization is complete, students who have a class scheduled on Edusign during the synchronization window will be automatically created with:
Their name (required)
Their first name (required)
Their email address (required)
Don't worry if you don't see all of your students' profiles on Edusign. They will only appear in the app once they have a training session scheduled within the synchronization window.
Instructors
Just as with students, instructors who have a scheduled class will be automatically created with:
Their name (required)
Their first name (required)
Their email address (required)
Groups
Learner groups are automatically synchronized from Celcat. Each group displays:

Upstream Synchronization — Reporting Attendance Data to Celcat
Attendance and absence data collected on Edusign are not sent to Celcat. This feature is not available.
Event Synchronization (Student Schedule)
The Celcat connector supports event synchronization (in addition to traditional attendance sheets) in situations where attendance data does not need to be retrieved.
This synchronization retrieves events from an extended time frame and pushes them to the Edusign student schedule. Events that are no longer in Celcat are automatically deleted.
Cohort Synchronization
The Celcat connector supports cohort synchronization: a dedicated synchronization process that imports all students and instructors from each schedule, regardless of events.
This allows you to pre-create profiles on Edusign even before a class is scheduled in the standard synchronization window.
Common Problems and Checks

The sheet does not appear on Edusign | The class may have been created that very day or may refer to a past session. Edusign only synchronizes upcoming classes |
The schedule is not the correct one | Verify that the configured scheduling credentials are correct. Schedules often change every year |
The presenter or learner does not appear | They must have a first name, last name, and a valid email address on file with Celcat. Also make sure that the name format is configured correctly |
Duplicate presenter | If a teacher's email address appears twice on Celcat, Edusign blocks the duplicate—the associated worksheets will not be uploaded |
The students do not appear | If your students are linked only through groups (and not directly to events), make sure the corresponding option is enabled |
Monday is not included | Some Celcat systems use 0 for Monday. Make sure the "Monday Management (Day 0)" option is enabled |
The Celcat API is not responding | Celcat servers are often behind a proxy. Please verify that our IP addresses are on the whitelist |
