Edusign and Celcat - Everything you need to know

Learn all about the integration between Edusign and the Celcat software

Say goodbye to double entry! Your training data is automatically synchronized between Celcat and Edusign. 🥰

Warning! When using a connection between an ERP and Edusign, it’s recommended not to create or modify elements directly on Edusign.

Otherwise, you risk data deletion or duplication.

If this rule is not followed, the connector will not be able to account for manually created resources and thus will not be able to synchronize them or report attendance data.


Synchronization from Celcat WEBAPI to Edusign

The integration allows Edusign to retrieve data related to training from Celcat WEBAPI.

This information enables the creation of an attendance sheet on Edusign.

Then, you (or your instructors) can have the learners sign in.

The sheet is ready and signed!

Finally, attendance information is optionally sent to Celcat.

The connector syncs twice a day

  • Between 11:00 AM and 1:00 PM - Paris Time

  • Between 6:00 PM and 9:00 PM - Paris Time

During a synchronization, information is retrieved from Celcat to Edusign.

The following 14 calendar days are retrieved from Celcat.

A course in Celcat more than 14 days into the future will not yet be visible on Edusign. You will need to wait.

Courses from the past or created on the same day will not, however, be synchronized.


Installation

To install the integration between Edusign and Celcat, you must provide the following information to your Edusign contact.

API Connection Information

Provided by you to your Edusign contact

  • URL (mandatory)

    • API access URL:

  • Password (optional, but recommended)

    • API access password: xxxxxxxxxxxxx

  • Resource Name Format - UserNameFormat

    • This defines how the connector should interpret and separate resource first and last names.
      In Celcat, the first/last name field is combined, and the format can vary by institution. For example:
      Last NAME, first or first Last NAME.


Available Options

Please indicate the desired options to your Edusign contact.

  • Automatic sending of credentials to instructors and students when added to Edusign

  • Returning students' attendance to Celcat

  • Timetable Identifiers - TimeTableIds

    • By default, all available timetables in Celcat are synchronized with your training organization on Edusign.
      However, if you activate this option, only specifically indicated timetables will be considered, allowing you to synchronize only those that interest you.
      Note: schedules can change annually (e.g., “Schedule 2024-2025”), and this list should be updated accordingly each year.

  • Filter by category name (included) - EventCategoryNamesIncluded

    • If this option is enabled, only events matching the specified category names will be included (e.g., “Lectures”).
      This option takes precedence over excluding certain categories (eventCategoryNameExcluded).

  • Filter by category name (excluded). EventCategoryNamesExcluded

    • If eventCategoryNameIncluded is not defined, events matching the specified category names will be excluded.

Information going down to Edusign

📖 Attendance Sheets.

When you create or modify sessions/events/courses in Celcat, all related information will flow down to Edusign as attendance sheets. This information flow will only occur during synchronization to automatically create or modify attendance sheets, showcasing:

  • Their name.

  • Their date.

  • Start and end time.

  • Training room.

  • The instructor(s).

  • The student(s).

Note: it is only from the moment the attendance sheets associated with an individual (student or instructor) that they will be created on Edusign.

In other words, don't worry if you don't see all your student and instructor profiles on Edusign. They will only exist on the application from the moment they have a scheduled training session within the week.

My attendance sheets aren't flowing down to Edusign. Why?

No worries! There could be several reasons:

  • The attendance sheet was created the same day or relates to an event in the past (Edusign only syncs attendance sheets for the next 14 days)

  • The attendance sheet wasn't created under the correct company

  • The attendance sheet isn't scheduled in the right area, and the option is activated on the connector

  • The attendance sheet lacks an instructor or has an invalid instructor (must have a valid name, first name, and email)

  • The attendance sheet lacks at least one valid student (must have a valid name, first name, and email)

  • The professor's email appears twice on Celcat: for data consistency, Edusign blocks duplicate instructors — a second occurrence of the same instructor cannot be created, and associated sheets will not be brought up

If despite these checks, the sheet still doesn’t flow down, give us a sign through chat.

👨‍🎓 Students.

Once synchronization is performed, the student who has a course scheduled on Edusign within the next 14 days will be created automatically. You will then find all your students’ profiles in the Students menu, which will show:

  • Their last name (mandatory).

  • Their first name (mandatory).

  • Their email (mandatory).

  • Their phone number (optional).

👨‍🏫 Instructors.

Similarly for students, once synchronization is completed, the instructor who has a course scheduled on Edusign within the next 14 days will be created automatically. You will then find all your instructors’ profiles in the Instructors menu, which will show:

  • Their last name (mandatory).

  • Their first name (mandatory).

  • Their email (mandatory).



🫂Groups.

If the option for group retrieval is activated, once synchronization is performed, groups will be created automatically. You will then find all the groups in the Groups menu, which will show:

  • Their name (mandatory)

  • Attached students (mandatory)
