When using a connection between an ERP and Edusign, it is not recommended to create or modify items directly on Edusign.
Otherwise, you risk the deletion or duplication of your data.
Synchronization from FCA Manager to Edusign
The integration allows Edusign to retrieve data related to training from FCA Manager.
This information helps generate an attendance sheet on Edusign.
Then, you (or your instructors) can record the attendance of learners.
The sheet is ready and signed!
Finally, attendance and absence information is optionally sent to FCA Manager.
The connector synchronizes twice a day
Between 11:00 AM and 1:00 PM - Paris Time
Between 6:00 PM and 9:00 PM - Paris Time
During a synchronization, information is retrieved from FCA Manager to Edusign and attendance and absence data are sent from Edusign to FCA Manager.
The next 14 calendar days are retrieved from FCA Manager
A course present on FCA Manager more than 14 days in the future will not yet be visible on Edusign. It will take some time.
Past courses or those created the same day will not, however, be synchronized.
Installation
To install the integration between Edusign and FCA Manager, you must provide the following information to your Edusign contact.

Please indicate the desired options to your Edusign contact:
Automatic sending of credentials to instructors and learners when they are added to Edusign.
Resending of attendance data of learners to FCA Manager.
Setting a default absence reason (exact name or ID) if the one used is not recognized. Only "justified" reasons from FCA are imported during the connector's creation
Sending of delays, exclusions, or early departures of learners to FCA Manager.
Option to force the presence of the instructor if validation is mandatory on FCA Manager.
Option to include unconfirmed registrations for sessions.
Option to create instructors on Edusign from FCA teaching if none are selected in the session.
Synchronization possible only for certain FCA activity references (list of required labels).
If FCA Manager is behind network protection, you will likely need to add the connector's IP address to a whitelist to allow requests to pass. This requires us to activate the proxy on your connector. Please inform us and we will provide the proxy address for your network teams to make the necessary arrangements.

Information descending to Edusign
π The attendance sheets
When you create or modify sessions/courses on FCA Manager, all associated information will descend to Edusign as attendance sheets.
This information descent will only occur at the time of synchronization to automatically create or modify attendance sheets reflecting:
Their name.
Their date.
The start and end time.
The training room.
The instructor(s).
The learner(s).
Note: It's only when the attendance sheets associated with an individual (learner or instructor) are created that they will be created on Edusign.
In other words, don't worry if you don't see all your learners' and instructors' profiles on Edusign. They will only exist on the application once a training session is scheduled in the week.
π My attendance sheets are not descending to Edusign. Why?
No panic! There can be several reasons:
The attendance sheet was created on the same day or concerns a session that took place in the past (Edusign only synchronizes attendance sheets for the next 14 days).
The filtering option by Action labels is enabled and the session is not linked to an Action from the list.
The attendance sheet lacks an instructor or the instructor is not valid (they must have a valid name, first name, and email address).
The attendance sheet lacks at least one valid learner (they must have a valid name, first name, and email address).
The professor's email is listed twice on FCA Manager: for data consistency reasons, Edusign blocks the duplicate instructor - a second occurrence of the same instructor cannot be created, and the associated sheets are not reported.
If, despite these checks, the sheet still does not descend, let us know via the chat.

Once the synchronization is done, the learner with a course scheduled on Edusign in the next 14 days will be created automatically. You will then find all the profiles/records of your learners from the Learners menu displaying:
Their name (mandatory).
Their first name (mandatory).
Their email (mandatory).
Their phone number (optional).

Just like learners, once synchronization is completed, the instructor with a course scheduled on Edusign in the next 14 days will be created automatically. You will then find all the profiles/records of your instructors from the Instructors menu displaying:
Their name (mandatory).
Their first name (mandatory).
Their email (mandatory).

If the option for group reporting is enabled, once synchronization is done, groups will be created automatically. You will then find all groups in the Groups menu, displaying:

This upward synchronization occurs:
Each day at the time of synchronization
Only for attendance sheets that have been archived during the day.
Unarchiving a sheet after a first synchronization of a sheet may cause errors. It is advisable not to unarchive a sheet that has already been synchronized.
