No more double entry! Your training data is automatically synchronized between FCA Manager and Edusign. 🥰
When using a connection between an ERP and Edusign, it is not recommended to create or modify items directly on Edusign.
Otherwise, you risk the deletion or duplication of your data.
Operation
The connection between Edusign and FCA Manager is bidirectional. Two distinct streams of information coexist:
Downstream Flow 🛬: The schedule you enter in FCA Manager is automatically synced back to Edusign in the form of attendance sheets (sessions, learners, instructors, groups).
Upstream Data Flow 🛫: Attendance data collected on Edusign (attendance, absences, excused absences, tardiness, early departures, expulsions) is automatically synced to FCA Manager.
Synchronization Frequency
Downstream and upstream synchronizations are separate processes.
🛬 Downstream synchronization (FCA Manager → Edusign)
Twice a day: between 11:30 a.m. and 2:00 p.m., then between 6:30 p.m. and 10:00 p.m. — Paris time
Synchronization schedules may vary slightly. We do not recommend making last-minute changes. It's best to submit any changes at least one day before a class scheduled for the following day.
Retrieves the classes, students, and instructors for the next 14 rolling days. Classes that took place or were created on the same day are not synchronized.
🛫 Upstream synchronization (Edusign → FCA Manager)
Twice a day: between 11:30 a.m. and 1:30 p.m., then between 6:30 p.m. and 9:00 p.m. — Paris time
Sends attendance and absence data from locked sheets to FCA Manager.
Note: Only sheets that have been locked since the last synchronization are uploaded.

Additional Options Available
🛬 Downstream synchronization (FCA Manager → Edusign)
Option | Description |
Filter by Activity Reference Codes | Synchronize only those sessions associated with Actions whose activity reference code appears in a defined list (case-sensitive). In my experience, codes do not end with the year (valid example: |
Include unconfirmed registrations | Synchronize learners whose enrollment status is "Elective, unconfirmed" in addition to confirmed enrollments |
Instructors from the field of education | Create participants on Edusign based on the FCA course if none are selected directly in the session |
Deactivating the Room | Disable synchronization of the training room on the attendance sheets |
Courses | Synchronize FCA Manager Training Courses as Edusign Courses (beta) |
Automatic Sending of Login Credentials | Automatically send an account creation email to learners and/or instructors when they are added to Edusign |
🛫 Upstream Synchronization (Attendance Reporting Edusign → FCA Manager)
Option | Description |
Reporting Attendance | Submit students' attendance and absence data to FCA Manager |
Default Reason for Absence | Define an FCA Manager absence reason to be used as a fallback value when there is no matching Edusign reason. Only FCA "justified" reasons are imported when the connector is created |
Reporting Delays | Record learners' tardiness as excused absences |
Reporting Early Departures | Record learners' early departures as excused absences |
Report on Expulsions | Record student exclusions as excused absences |
Mandatory Instructor Approval | Require the speaker to be present even if he or she has not signed the sign-in sheet. Recommended: In FCA Manager, a missing instructor's signature prevents learners' attendance records from being submitted |
To request activation of these options, contact Edusign via chat. Upon request, and depending on technical feasibility, other parameters may be considered.
🛬 Downstream synchronization — FCA Manager to Edusign
Attendance Sheets
When you create or edit sessions in FCA Manager, the associated information is sent back to Edusign in the form of attendance sheets:
Session Name (Course Title)
Course reference code (in the description)
Date
Start and end time
Training Room (if the option is not disabled)
Associated speaker(s)
Associated learner(s)
Learners
A student is automatically created on Edusign as soon as they have a scheduled class within the synchronization window. The synchronized information is:
Last Name (required)
First Name (required)
Email (required — the primary address is used first)
By default, only learners with a "Confirmed" enrollment status are synchronized. The option to include unconfirmed registrations allows you to expand the scope.
Speakers
Similarly, a teacher is automatically created on Edusign as soon as they have a class scheduled within the synchronization window:
Last Name (required)
First Name (required)
Email (required — the primary address is used first)
If this option is enabled, the connector can also retrieve the instructors defined at the FCA course level when no instructor is directly assigned to the session.
Individuals (students and instructors) appear on Edusign only once they have a scheduled session within the next 14 days.
Groups
The learner groups defined in FCA Manager are automatically synchronized with Edusign:
Group Name (required)
Group code (in the description)
Enrolled students (required)
Groups are automatically deduplicated when the same group appears in multiple sessions.
🛫 Upstream Synchronization — Uploading Attendance Data to FCA Manager
Operation
Attendance sheets are signed on Edusign by students and instructors.
The document is archived (locked) on Edusign.
During the next upload, attendance data is transmitted to FCA Manager.
Reported data
Learner attendance: attendance (time spent in class), excused and/or unexcused absences for each archived attendance sheet.
Instructor Attendance: The instructor's time spent in class is automatically sent to FCA Manager (no options required). If the forced validation option is enabled, the instructor is considered present even without a signature.
Important: In FCA Manager, if a teacher's signature is missing for a session, the attendance of the students in that session cannot be recorded. It is therefore strongly recommended that you enable the "Force Instructor Approval" option.
Reasons for Absence
The mapping of absence reasons between Edusign and FCA Manager is configured automatically when the connector is created:
"Justified" absence reasons are retrieved from the FCA Manager API and mapped to Edusign reasons.
A default reason can be set as a fallback when the reason used in Edusign has no match in FCA Manager.
"Unjustified" absence reasons are not imported by default. Please contact us if this is a problem.
Late Arrivals, Early Departures, and Exclusions
If the corresponding options are enabled:
Tardiness: The learner's tardiness duration is recorded as an excused absence. The remainder of the session is counted as attendance.
Early departures: The time missed after the student leaves is recorded as an excused absence. The remainder is counted as attendance.
Exclusions: The time missed after the exclusion is recorded as an excused absence. The remainder is recorded as attendance.
Unarchiving a sheet after the initial synchronization may cause errors. It is advisable not to unarchive a sheet that has already been synchronized.
Common Problems and Checks
Verification | Details |
The sessions do not appear on Edusign | Check to make sure that sessions are scheduled within the next 14 days in FCA Manager. Classes created today or in the past are not synchronized. |
The sessions aren't showing up even though the window is set correctly | Verify that the session has at least one valid instructor (last name, first name, email) and at least one valid learner. |
The filter by activity reference codes is active | Verify that the session is correctly linked to an Action whose reference code appears in the configured list. |
Learners appear twice | Do not manually create learners on Edusign when the connector is active. Verify that the learner's email address is unique in FCA Manager. |
Learners or instructors do not appear | They appear only when they have a course in the synchronization window (14-day rolling period). |
An instructor has a duplicate email address in FCA Manager. | To ensure data consistency, Edusign blocks duplicate instructors. If the same email appears twice in FCA Manager, the sheets associated with the duplicate will not be synchronized. |
Absences are not reported to FCA Manager | Make sure the attendance sheets are properly archived (locked) on Edusign. |
Learners' absences are blocked on FCA | Verify that the instructor's signature is listed on FCA. Enable the "Force Instructor Approval" option if necessary. |
"Unconfirmed" registrations are missing | The option to include unconfirmed registrations must be enabled by Edusign. |
A list of events and errors related to synchronization is available in your Edusign account settings, under the "Connectors" tab (under "More Info").
