No more double entry! Your training data is automatically synchronized between ADESOFT and Edusign. 🥰
When using a connection between an ERP and Edusign, it is not recommended to create or modify elements directly on Edusign while connected to an ERP, as this may result in data deletion or duplication.
Functioning
The Edusign-ADESOFT Webservice integration is downstream only:
Downstream synchronization (ADESOFT to Edusign): Training data (attendance sheets, learners, instructors, groups) is automatically retrieved from ADESOFT and created in Edusign.
Attendance reporting (upstream synchronization) is not available for this connector. If you need this feature, please contact your Edusign representative for more information about the ADESOFT REST connector, which supports it.
Important: There are two versions of the ADESOFT API. This connector uses the legacy Java Servlet (Web Service) API. If your institution uses the REST API (Tapir), this is a different connector. Check with your technical contact to see which version is currently installed.
Synchronization Frequency
Downstream synchronization (ADESOFT to Edusign)
The connector synchronizes twice a day:
Between 11:30 a.m. and 2:00 p.m. (Paris time)
Between 6:30 p.m. and 10:00 p.m. (Paris time)
Synchronization schedules may vary slightly. We do not recommend making last-minute changes. It's best to submit any changes at least one day before a class scheduled for the following day.
The rolling window covers the next 7 calendar days (by default). A course listed on ADESOFT that is more than 7 days in the future will not yet be visible on Edusign. Classes that took place or were created on the same day are not synchronized.
What Sets ADE Apart: Projects
In ADESOFT, data is organized by project (for example: "Training 2025-2026"). You must specify the ID of the project to be synchronized. This setting may change every year.
Installation
Prerequisite Information
Please provide the following information to your Edusign contact. You can obtain them from the administrator of your ADESOFT instance.
Parameter | Description |
API Access URL | Base URL of the ADESOFT Web Service API (e.g., |
Username | API Access Token |
Password | API access password (may be left blank if not configured on your instance) |
Project ID | Project ID containing the data to be synchronized for the current period (e.g., the project for the current year). This setting may change every year. |
Additional Options Available
Synchronization Scope
Option | Description |
Filter by group codes | Only courses that contain at least one of the specified groups will be imported. Ideal for focusing on a specific component or training program. |
Filter by parent group code | Same principle, but based on the names of the top-level groups. The connector automatically matches and retrieves the entire tree structure under these groups. |
Number of days to retrieve | Allows you to change the synchronization window (default: 7 days). Use with caution if the data volume is large. |
Learners and Groups
Option | Description |
Learners Not Modeled in ADESOFT | If your students are not listed in ADESOFT, this option synchronizes the empty groups and preserves the students added manually in Edusign (e.g., via Excel import). |
Learner Category | Allows you to specify the ADESOFT category to which learners are assigned when they are not in the default category. |
Group Tree Structure | Retrieves the complete tree structure of parent groups as organized in ADESOFT. |
Deleting Virtual Groups | Excludes virtual groups (names or codes ending in "-VET") from synchronization. |
Notifications
Option | Description |
Automatic sending of login details to students | Automatically send an account creation email to learners when they are added to Edusign. |
Automatic sending of login details to speakers | The same goes for the speakers. |
Downstream Synchronization - ADESOFT to Edusign
Attendance Sheets
When you create or edit events on ADESOFT, all the information associated with them is synced back to Edusign in the form of attendance sheets:
Their name
Their date
Their start and end time
The training room (if available)
The presenter(s)
The learner(s) (if listed on ADESOFT)
A course must have at least one valid instructor to be imported. Courses are derived from groups: a course cannot exist without being associated with a group.
Learner and instructor profiles are created on Edusign only when an attendance sheet is linked to them in the synchronization window. They will appear as soon as a training session is scheduled.
Learners
Once synchronization is complete, learners with a scheduled class during the synchronization window are automatically created:
Their name (required)
Their first name (required)
Their email address (optional)
In most cases, there are no students directly in ADESOFT; instead, third-party tools are used to manage student data. If this applies to you, the "Learners not modeled in ADESOFT" option allows you to synchronize empty groups and add learners manually in Edusign (e.g., via Excel import).
Speakers
Similarly, instructors with a class scheduled during the synchronization window are created automatically:
Their name (required)
Their first name (required)
Their email address (required)
If a participant does not have a valid email address in ADESOFT, the associated attendance sheet will not be imported.
Groups
Groups are created automatically during synchronization. They show:
Their name (required)
Enrolled students (if listed in ADESOFT)
Groups are organized in a folder tree structure in ADESOFT. The "Group Tree" option lets you view this hierarchy in Edusign.
Common Problems and Checks
Verification | Details |
The attendance sheet is for a past session or today's session | Edusign synchronizes only the sessions for the next 7 days (by default). Past sessions and those from the current day are not imported. |
The attendance sheet has no speaker listed | The speaker must have a valid first name, last name, and email address on ADESOFT. |
The speaker's email address appears twice in ADESOFT | This prevents the sheet from being synchronized to avoid duplicates. |
The course is not associated with any group | Courses are extracted from the groups in ADESOFT. A course without a group will not be imported. |
This isn't the right project | The project ID may change each year. Check with your ADESOFT administrator to make sure the correct project is configured. |
The group filter excludes the course | If a filter based on group codes or names is enabled, only courses containing at least one of the specified groups are imported. |
A list of events and errors related to synchronization is available in your account settings, under the "Connectors" tab > "More info".
