Edusign and ADESOFT: everything you need to know

Written by Elliot Boucher

No more double entry! Your training data is automatically synchronized between ADESOFT and Edusign. πŸ₯°

When using a connection between an ERP and Edusign, it is not recommended to create or modify elements directly on Edusign during an ERP connection as it may result in data deletion or duplication.

Synchronization from ADESOFT to Edusign

The integration allows Edusign to retrieve training-related data from ADESOFT.

This information allows for generating an attendance sheet on Edusign.

You (or your professors) can then have the students sign the attendance sheet.

The sheet is ready and signed!

The connector synchronizes twice a day

  • Between 11:00 AM and 1:00 PM - Paris Time

  • Between 6:00 PM and 9:00 PM - Paris Time

During synchronization, the information is retrieved from ADESOFT to Edusign.

Following 7 calendar days are retrieved from ADESOFT

A course present on ADESOFT more than 7 days in the future will not yet be visible on Edusign. You will have to wait.

Past or same-day created courses will not, meanwhile, be synchronized.

Steps to follow to install the Edusign-ADESOFT integration

To install the integration between Edusign and ADESOFT, you must provide the following information to your Edusign contact:

API connection information:

Provided by you to your Edusign contact

  1. URL (mandatory)

  2. Username (mandatory)

    • API access username: some_username

  3. Password (mandatory)

    • API access password: xxxxxxxxxxxxx

  4. Project Identifier (mandatory)

    • Project identifier containing the data to synchronize for the period, which may change annually: xx

Available options

  1. Filter by groups - groupsCodes (optional)

    • Allows filtering of the returned attendance sheets based on the associated group codes, which can be a list of group codes.

  2. Category of students - studentCategory (optional)

    • Allows the return of students via the category specified in the parameter, for example: category8

  3. Automated identifier sending to professors (optional)

    • Automatic sending of identifiers to professors when they are added on Edusign during the daily synchronization.

  4. Automated identifier sending to students (optional)

Downstream information to Edusign

πŸ“– Attendance sheets

When you create or modify events on ADESOFT, all associated information is transferred to Edusign as attendance sheets.

This information transfer only occurs at synchronization time to automatically create or modify attendance sheets by displaying:

  • Their name.

  • Their date.

  • Start and end time.

  • Training room.

  • The professor(s).

  • The student(s) if they exist on ADESOFT.

Note: Profiles of students and professors are created on Edusign only when an attendance sheet is associated with them.

Don't worry if you don't see them yet, they will appear as soon as a training session is scheduled for the week.

πŸ’” Why are my attendance sheets not appearing on Edusign?

Don't panic! There may be several reasons:

  • The attendance sheet has been created on the same day or concerns a past session (Edusign only synchronizes those for the next 7 days).

  • The attendance sheet does not have an professor or the professor is not valid (name, surname, and email are required)

  • The professor's email is duplicated on ADESOFT, preventing the sheet's synchronization to avoid duplicates.

If despite these verifications, the sheet still does not appear, the support team is here to help you πŸ˜‰

πŸ’‘ A list of events and errors from the connector synchronization is available to help you in the account settings under the "Connectors" tab (under "More info")

You can also access it directly via the following link

πŸ‘¨β€πŸŽ“ The students (if they are present on ADESOFT)

Once synchronization is completed, the student with a scheduled course on Edusign within the next 7 days will be automatically created.

You will then find all student profiles/sheets from the students menu, which will display:

  • Their name (mandatory).

  • Their first name (mandatory).

  • Their email (optional).

πŸ‘¨β€πŸ« The professors

In the same way as students, once synchronization is completed, the professor with a scheduled course on Edusign within the next 7 days will be automatically created.

You will then find all professor profiles/sheets from the professors menu, which will display:

  • Their name (mandatory).

  • Their first name (mandatory).

  • Their email (mandatory).

πŸ‘₯ The groups

Once synchronization is completed, the groups will be automatically created.

You will then find all groups and their hierarchy in the Groups menu, which will display:

  • Their name (mandatory)

  • Attached students (optional)
